About Our Privacy Policy

SaarVadi cares deeply about your privacy. Therefore, we only process data that we need for (improving) our services and handle the information we have collected about you and your use of our services carefully. We never provide your data to third parties for commercial purposes. This privacy policy applies to the use of the SaarVadi website and the services provided on it. The effective date of these terms is 12/08/2023, and the publication of a new version will replace all previous versions. This privacy policy describes what data about you we collect, how we use this data, and under what conditions we may share this data with third parties. We also explain how we store your data, protect it from misuse, and your rights regarding the personal data you provide to us. Data Processing

Below, you can read how we process your data, where we (or third parties) store it, which security techniques we use, and who can access the data.

Web Store Software – WooCommerce

Our web store is developed using WooCommerce software. Personal data that you provide to us for the purpose of our services is shared with this party. WooCommerce has access to your data to provide us with (technical) support; they will never use your data for any other purpose. Based on the agreement we have concluded with them, WooCommerce is obliged to take appropriate security measures. These security measures consist of the application of SSL encryption and a strong password policy. WooCommerce uses cookies to collect technical information regarding your use of the software; no personal data is collected and/or stored.

WooCommerce Hosting – Siteground

Our web store is developed using WooCommerce software; for our web hosting, we have opted for AndersSiteground. Personal data that you provide to us for the purpose of our services is shared with this party. Siteground has access to your data to provide us with (technical) support; they will never use your data for any other purpose. Based on the agreement we have concluded with them, AndersSiteground is obliged to take appropriate security measures. These security measures consist of the application of SSL encryption and a strong password policy. Regular backups are made to prevent data loss.

Web Hosting – Siteground

We obtain web hosting and email services from Siteground. Siteground processes personal data on our behalf and does not use your data for its own purposes. However, this party may collect metadata about the use of the services. These are not personal data. Siteground has taken appropriate technical and organisational measures to prevent loss and unauthorised use of your personal data. Siteground is obliged to confidentiality based on the agreement.

Email and Mailing Lists – MailPoet

Our website uses MailPoet, a third party that handles email traffic from our website and the sending of newsletters. All confirmation emails you receive from our website and web forms are sent through MailPoet’s servers. MailPoet will never use your name and email address for its own purposes. At the bottom of every email sent automatically via our website, you will find the ‘unsubscribe’ link. Clicking on this link will result in you no longer receiving emails from our website. This may significantly reduce the functionality of our website. Your personal data is stored securely by MailPoet. MailPoet uses cookies and other internet technologies that provide insight into whether emails are opened and read. MailPoet reserves the right to use your data to further improve the service and, in that context, share information with third parties.

General e-mail communication – Gmail

We use Gmail for our regular business email communication. This party has taken appropriate technical and organisational measures to prevent misuse, loss, and corruption of your and our data as much as possible. Gmail does not have access to our mailbox, and we treat all our email traffic confidentially.

Payment Processors – Mollie

To handle (part of) the payments in our web store, we use the Mollie platform. Mollie processes your name, address, and residential information, as well as your payment details such as your bank account or credit card number. Mollie has taken appropriate technical and organisational measures to protect your personal data. Mollie reserves the right to use your data to further improve the service and, in that context, share (anonymized) data with third parties. All the guarantees mentioned above regarding the protection of your personal data are also applicable to the parts of Mollie’s service provision for which they engage third parties. Mollie does not retain your data longer than is permitted by law.

Invoicing and Bookkeeping – e-boekhouden

For our administration and bookkeeping, we use the services of [Provider]. We share your name, address, and residential information, as well as details regarding your order. These data are used for the administration of sales invoices. Your personal data is securely stored and transmitted. [Provider] is obligated to confidentiality and will treat your data confidentially. [Provider] does not use your personal data for purposes other than described above.

Purpose of Data Processing

The general purpose of processing is to enhance our services. Processing is always directly related to the task you have given us. We do not use your data for targeted marketing. If we use your data for any other purpose than what you requested, we will ask for explicit permission. Your data is not shared with third parties, except for accounting and administrative obligations. These third parties are bound by confidentiality through agreement or oath.

Automatically Collected Data

Data automatically collected by our website is processed to further improve our services. This data (e.g., your IP address, web browser, and operating system) is not personal data.

Assistance in Fiscal and Criminal Investigations

In certain cases, SaarVadi may be required by law to share your data in connection with fiscal or criminal investigations by government authorities. In such cases, we will oppose it within the limits of the law.

Retention Periods

We retain your data as long as you are a client of ours. This means we keep your customer profile until you indicate that you no longer wish to use our services. If you make such a request, we will treat it as a request for forgetting data. This also means that we do not retain your data for longer than two years after the last contact or transaction, unless there is a legal justification. Based on applicable administrative obligations, we must retain invoices with your (personal) data, which we will keep for as long as the applicable term runs. However, employees no longer have access to your client profile and documents we have produced based on your assignment.

Your Rights

Under Dutch and European law, you have certain rights regarding the personal data processed by or on behalf of us. We explain these rights below and how you can invoke them. To prevent misuse, we will only send copies of your data and copies of data to your already known email address. In the event that you wish to receive the data at another email address or, for example, by post, we will ask you to identify yourself. We keep a record of completed requests; in the case of a request to forget, we store anonymized data. All copies and copies of data are sent in the machine-readable data format that we use within our systems. You have the right at all times to file a complaint with the Dutch Data Protection Authority if you suspect that we are using your personal data inappropriately.

Right to Limit Processing

You have the right to limit the data processing that pertains to you or can be traced back to you. You can make a request to our privacy contact person for this purpose. You will receive a response to your request within 30 days. If your request is granted, we will send you a confirmation that the data will no longer be processed until you lift the limitation.

Right to Data Portability

 You have the right to have the data that we (or third parties on our behalf) process, which pertains to you or can be traced back to you, transferred to another party. You can make a request to our privacy contact person for this purpose. You will receive a response to your request within 30 days. If your request is granted, we will send you copies or copies of all data about you that we have processed or that have been processed by others on our behalf. It is likely that we can no longer provide the service in such a case, as the secure connection of data files can no longer be guaranteed.

Right to Object and Other Rights

 In certain cases, you have the right to object to the processing of your personal data by or on behalf of SaarVadi. If you object, we will immediately stop data processing pending the resolution of your objection. If your objection is well-founded, we will provide you with copies and/or copies of data that we (or third parties on our behalf) have processed and then permanently stop processing. You also have the right not to be subjected to automated individual decision-making or profiling. We do not process your data in such a way that this right applies.
